Marketing automation and CRM setup in the Milwaukee area

I set up the systems that keep a small marketing team moving, for businesses in the Milwaukee area and across the Midwest. That means follow-up emails that send on time, forms and lead routing that work, a CRM that's set up properly, and templates that let your team make on-brand pieces without starting from scratch. I work in HubSpot and Salesforce, including Marketing Cloud Account Engagement (formerly Pardot). I'm Keegan Gunnlaugsson, an independent designer in Elm Grove, Wisconsin, and I ran marketing operations alongside design at OneTouchPoint, so the systems and the design come from the same person.

Working together

How it goes

Setting up forms, follow-up emails and lead routing usually takes two to four weeks. CRM setup or cleanup takes two to six, depending on how much data there is. [Timelines to confirm.]

Week one: look first. I go through what you have now: the CRM, the forms on your site, the emails that already go out and the ones that should. I follow a test lead from the first form to the salesperson’s inbox and note where it stalls. You get a short written plan of what I’d fix first and why.

Weeks two and three: build. I set up the pieces we agreed on. It might be a welcome series, a form that feeds the right list, routing that sends each lead to the right person, or a cleanup of duplicate records and unused fields. Every email is designed to match your brand, since it goes out with your name on it. I run test contacts through everything before a real customer sees it.

Week four: turn it on. We switch it on together and watch it for a week or two. I fix what needs fixing and write down how it all works, so whoever runs it next can follow along.

The tools

I work in HubSpot and Salesforce, including Marketing Cloud Account Engagement (formerly Pardot). For templates, I build in Word, PowerPoint, Canva or InDesign, whichever your team already uses. If your tools are different, ask. I’ll tell you plainly if something is outside what I know.

What I’ll need from you

  • Admin access to your CRM and email tools, or someone who can grant it.
  • An hour with the person who runs sales, so the routing matches how your team really follows up.
  • Your brand files, so the emails and templates look like the rest of your work.

What you get at the end

  • Working automations, tested and running in your own accounts.
  • A plain-language guide to what runs and how to change it.
  • Templates your team can open and use the same day.

Everything lives in accounts you own. If we stop working together, it keeps running.

Questions

Questions about automation

What does marketing automation setup cost?

Setting up forms, follow-up emails and lead routing starts at $1,500. CRM setup or cleanup in HubSpot or Salesforce starts at $2,000. [Both prices suggested, to confirm.] Software subscriptions are separate and stay in your name.

How long does it take?

Two to four weeks for automation setup, and two to six weeks for CRM work, depending on how much data needs cleaning [to confirm]. I'll give you dates for each step before we start.

Do you work in HubSpot or Salesforce?

Both. I set up and clean up HubSpot and Salesforce, including Marketing Cloud Account Engagement, which Salesforce called Pardot until 2022. If you use something else, ask. I'll tell you plainly if it's outside what I know.

Is my team too small for this?

Probably not. A small team has the least time to chase leads by hand. Often the right start is a form that sends leads to the right inbox and a few follow-up emails that go out on time. I'll suggest the smallest setup that does the job.

Who owns what you build?

You do. Everything is built in your own accounts and written up in plain language. If we stop working together, it keeps running.

Can you do this remotely?

Yes, and most of it happens that way, in your accounts and over video calls. It works the same for a team in Milwaukee or across the country. I'm in Elm Grove, Wisconsin, if you'd rather meet in person.
